When to send
Two or three days before the due date works best for coaching centres – early enough for parents to plan, close enough that they act. Send in the evening (7–9 pm), when parents are home and checking their phones, not during class hours.
Tips
- Mention the batch name if the parent has more than one child in your centre, so there is no confusion.
- If you accept UPI, tell parents they can pay by scanning your centre's QR – don't paste a UPI ID inside the reminder.
- Keep the tone the same as how you speak to parents at the centre; a sudden formal message can feel cold.
- Send all due-soon reminders on the same evening each month so parents start expecting them.
Mistakes to avoid
- Sending the reminder at 7 am or during class time, when it gets ignored.
- Messaging the student instead of the parent who actually pays.
- Forgetting to update the amount after a fee change or sibling discount.
Send this to every pending member in one tap
FeeSend fills in each member's name, amount and month and opens your own WhatsApp ready to send. No copy-paste.
Questions
How many days before the due date should a coaching centre send a fee reminder?
Two to three days is ideal. Earlier than a week and parents forget again; on the due date itself feels like chasing.
Should the reminder go to the student or the parent?
To the parent or guardian who pays. Students often forget to pass the message on.
