Privacy Policy

How FeeSend collects, uses, stores and protects your information, including data processed through the WhatsApp Business Platform.

Last updated: 6 November 2026

This Privacy Policy describes how FeeSend ("FeeSend", "we", "us", or "our") collects, uses, maintains, stores, and discloses information from users of our platform, website, and mobile application (together, the "Platform"). By accessing or using FeeSend, you consent to the practices described here. If you do not agree, please do not use the Platform.

1. Our Platform and Services

FeeSend is a software platform that helps coaching centres, tuition classes, and small businesses manage member fees and communicate with their own customers ("End Recipients") over WhatsApp. Our services include:

  • Subscription plans (self-service): Platform access to track fees, send fee reminders, collect payments over UPI, chat with customers, manage contacts, groups, tags and templates, mark attendance, send notices and broadcasts, and view collection reports and analytics. Exactly what each plan includes — and the messaging stars that come with it — is set out on our pricing page.
  • Optional onboarding help: We may help you set up your account, customers and message templates.

Fees and Meta charges. We charge you for the use of the FeeSend Platform through plans and prepaid messaging stars ("stars"). Messages are sent from FeeSend's own WhatsApp Business number, so you do not need your own WhatsApp Business Account and you are not billed by Meta: the stars you spend include the cost of delivering each message. We are not Meta and are not affiliated with or endorsed by Meta.

Providing these services requires us to process account, billing, technical, messaging, and — where applicable — integration data, as described below.

2. Personal Information

"Personal Information" means information that identifies you, such as your name, email address and business name. "Sensitive Personal Information" includes passwords, payment data, and other data protected by law. We only collect information necessary to provide our services.

3. Information We Collect

  • Account and identity: When you sign in with Google we receive your name, email address and profile picture from your Google account. You also give us your business/centre name. We do not receive or store your Google password.
  • Billing and payments: Payments are processed by Razorpay. For auto-renewing plans, Razorpay holds your payment mandate (UPI Autopay, card or e-mandate) and charges each renewal. We receive only the subscription, order and payment references and their status, needed to activate and renew your plan and keep accounting records. We never see or store card numbers, UPI PINs or bank login details.
  • WhatsApp and messaging data: The content of messages you send to and receive from your customers through FeeSend's WhatsApp number, the template used, and delivery status (sent, delivered, read, failed). This data is processed in accordance with Meta's WhatsApp Business Terms and the WhatsApp Business Messaging Policy.
  • Your customers' data (contacts and conversations): Contact lists, phone numbers, tags, custom fields, conversation content, payment amounts and notes, and related data that you or your team upload or generate while using reminders, broadcasts, chats, and the inbox. You are responsible for having a lawful basis to collect and use that data, including obtaining any consent required by applicable law or by Meta's policies. We process it only to provide the services you request.
  • Payment proofs and UPI QR: Screenshots of payments that you upload for your customers, and the UPI ID and QR image you set up, stored in private object storage.
  • Abuse reports: If a recipient replies REPORT, SPAM or FRAUD to a message, we keep a record against the sending business (including the last digits of the reporter's number) to protect recipients and the shared number.
  • Cookies and technical/usage data: Browser type, device, IP address, logs, and usage statistics to operate, secure, and improve the Platform. We use cookies to enhance your experience; you may disable cookies in your browser, though some features may not function properly.

3A. App Permissions on Your Phone

  • Contacts (optional): Used only when you choose "Import from contacts". We show you an explanation first. Only the contacts you select (name and phone number) are uploaded and saved as your customers; contacts you do not select never leave your phone.
  • Camera and photos (optional): Used only when you choose it: to photograph or pick a list of names and phone numbers to import as customers, a payment screenshot, or your UPI QR image. Text in the photo (names, phone numbers, or a payment amount and transaction ID) is read on your phone and shown to you to review; only the rows you confirm are saved. The photo itself is not uploaded for list import. Payment screenshots and QR images are uploaded only when you submit them, and only once that feature is switched on.
  • Notifications (optional): A device push token is stored so we can notify you about customer replies, payment proofs and plan reminders. It is deleted when you log out.

4. How We Use and Share Information

  • To provide and operate the Platform and the features above — including account setup, fee reminders, broadcasts, chats, integrations, and reports.
  • To communicate with you about your account, billing, onboarding, support, product updates, and (where permitted) offers — and to respond to inquiries.
  • To work with the service providers that help us run the Platform, under confidentiality and purpose limitations: Google (sign-in), Meta (WhatsApp Business Platform), Razorpay (payments), Render (application hosting), TiDB Cloud (database), Cloudflare R2 (storage of payment screenshots and QR images), Redis (message queue) and Firebase Cloud Messaging (push notifications).
  • To improve, secure, and customize our Platform.
  • To comply with legal and regulatory obligations and to enforce our terms.

We do not sell, trade, or rent your Personal Information. We do not use WhatsApp messaging data or your customers' data for advertising or ad targeting. We may share aggregated, non-identifiable data for analytics or business purposes.

We may disclose information if required by law or to protect our rights, our users, or the public. We may also disclose information to Meta and its affiliates as necessary to operate the WhatsApp Business Platform, in accordance with Meta's terms.

5. WhatsApp Business Platform and Meta

FeeSend uses the official WhatsApp Business Cloud API provided by Meta to deliver messages on your behalf. Messages are transmitted through Meta's infrastructure and are subject to Meta's terms and privacy policies. Specifically:

  • FeeSend sends WhatsApp messages from a single FeeSend WhatsApp Business number operated on our own Meta WhatsApp Business Account. You do not need a Meta account or your own WhatsApp Business Account to use the Platform. Inbound replies are routed to the business the sender is messaging, using the sender's phone number and the business's customer records; if a reply cannot be matched to exactly one business it is held for manual review rather than shown to the wrong business.
  • We send messages only to the phone numbers you add to your account. You are responsible for ensuring you have a lawful basis and any required consent to contact those numbers, and for complying with Meta's messaging policies, including template categories and opt-out handling.
  • We do not use WhatsApp messaging content or your customers' contact data for our own marketing, for building advertising audiences, or for any purpose other than providing the Platform to you.
  • A recipient can opt out of messages from a business at any time by replying STOP. The Platform records the opt-out for that business and blocks further outbound messages from the shared number to that customer. A later START reply, or a fresh opt-in recorded by the business, re-enables messaging. Because the number is shared, an opt-out applies only to the business the customer was messaging (or, where we cannot tell which business it was, to every business that has that number).
  • A recipient who does not recognise a message can reply REPORT. This opts them out of that business, and a business that receives repeated reports is automatically paused while we review it.

6. Data Storage, Security and Location

Data is encrypted in transit using HTTPS/TLS and stored on secure servers. Sensitive credentials and access tokens are encrypted at rest. In the app, your sign-in tokens are kept in the phone's secure keystore; cached business data is kept in the app's private storage (not accessible to other apps) and is cleared when you log out. Our servers and service providers may store and process data outside India, with the same protections. Access to Personal Information is limited to personnel and processors who need it to operate the Platform, under confidentiality obligations. While we take reasonable measures to protect your information, no method of transmission or storage is completely secure.

7. Data Retention

We keep data only for as long as it is needed to provide the Platform or to meet legal obligations. On a rolling basis:

  • WhatsApp message records — outbound and inbound message bodies and delivery metadata are retained for up to 365 days, then purged.
  • Webhook delivery payloads — raw Meta webhook payloads used for delivery tracking and troubleshooting are retained for up to 30 days.
  • Unmatched inbound messages — messages that could not be attributed to a single business are retained for up to 90 days, so support can investigate.
  • Account and business records — retained while the account is active. When you delete your account in the app, your account, business, customers, chats, payment records, payment screenshots and QR images are deleted immediately, except limited records we are required by law to keep.

A short-lived copy of deleted data may persist briefly in encrypted backups and ages out on our standard backup cycle.

8. Data Deletion

You may request deletion of your data at any time. You can delete your account from within the app (Settings › Account › Delete account, confirmed by signing in with Google again), or request deletion by emailing appfeesend@gmail.com. Please see our Data Deletion Instructions for the exact steps and what happens to your data afterwards. Requests are actioned within 30 days.

9. Your Choices and Rights

  • You may disable cookies in your browser settings.
  • You may opt out of marketing communications at any time by contacting us.
  • You may update or delete your information through your account settings or by contacting us. Some information may be required to use our services.
  • Depending on your location, you may have rights to access, correct, delete, restrict, or port your Personal Information, and to withdraw consent where processing is based on consent. On request we provide a machine-readable copy of your account data.

To exercise any of these rights, contact us at appfeesend@gmail.com.

10. Children's Privacy

FeeSend is a business tool intended for use by adults and is not directed at children under 18. Where member or contact information relates to minors, the business using FeeSend is responsible for obtaining any necessary parental or guardian consent.

11. Third-Party Services

The Platform relies on the third-party providers listed in section 4, including Google, Meta (WhatsApp Business Platform), Razorpay, Render, TiDB Cloud, Cloudflare and Firebase. Your use of those services may be subject to their own terms and privacy policies. We are not responsible for the privacy practices of third-party providers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified in the app or by email, and the "last updated" date above will be revised. Continued use of FeeSend after changes means you accept the updated Policy.

  • Name: Grievance Officer, FeeSend
  • Email: appfeesend@gmail.com
