Fee reminder message format, with examples

A fee reminder message should include a greeting, the member's name, the month, the exact amount, the due date and a thank-you. Keep it to two or three lines and match the tone to how late the payment is.

Whether you run a tuition class, a school or a gym, the structure of a good fee reminder is the same. Here's the format, why it works, and examples you can use today.

The five-part format

  1. Greeting – "Hello", "Namaste", "Dear Parent".
  2. Who – the student's or member's name.
  3. What – the month the fee is for.
  4. How much – the exact amount.
  5. When – the due date, plus a thank-you.

That's it. Anything more – long rules, links, phone numbers – makes the message look like spam and gets ignored.

Hindi and Hinglish formats

Use the language you speak with your members. A Hindi version of the "pending" message:

नमस्ते, रिया की नवंबर की फीस ₹1,500 अभी बाकी है। कृपया जल्द भुगतान करें। धन्यवाद 🙏

And Hinglish, which many parents prefer on WhatsApp:

Namaste! Riya ki November ki fees ₹1,500 abhi pending hai. Kripya jaldi payment kar dein. Dhanyavaad 🙏

Common mistakes

  • Wrong amount or month – the fastest way to lose trust. Double-check before sending.
  • Group messages – fee matters are private. Message one-to-one.
  • Sending at odd hours – early morning or late night messages feel rude.
  • No "if already paid" line – payments cross messages all the time.

Sending personal reminders to 50 or 100 people by hand is slow and error-prone. The FeeSend app fills in every name, month and amount from your records and opens each message in your own WhatsApp, ready to send with one tap.
